Privacy Policy

Who we are. Mins Bookkeepers ("the app") is meeting-management software operated by Infolead for co-operative banks and similar member institutions ("your organisation"). Your organisation is the data controller for the meeting records the app produces; Infolead processes that data on its behalf.

What we collect

• Account details — your name, phone number and role, created for you by your organisation's administrator. We never sell these.
• Meeting audio and video — when a meeting is recorded, the audio (and video, for video meetings) of participants is captured, transcribed, and stored so your organisation can produce its statutory minutes. Recording is a per-meeting decision by the meeting's host, and joining a recorded meeting constitutes consent to be recorded.
• Transcripts and minutes — text derived from meeting audio, retained as part of the organisation's official record.
• Attendance — join and leave times for meetings you attend.
• Device permissions — microphone (to speak and record), camera (for video meetings), notifications (meeting alerts). Each is requested only when the related feature is used, and the app functions with any of them denied, minus that feature.

Where data lives

All data is stored on infrastructure located in India (AWS Mumbai region), consistent with Indian data-localisation requirements for financial institutions. Recordings are encrypted at rest and served only through short-lived signed links to authenticated, authorised users of your organisation.

Third-party processors

• Amazon Web Services — hosting and storage (India region).
• LiveKit — real-time audio/video transport for live meetings.
• Soniox — speech-to-text processing of meeting audio.
• Anthropic — drafting of meeting minutes from transcripts.

Each processor receives only the data necessary for its function and is bound by its own data-processing terms.

Retention and deletion

Meeting records are retained according to your organisation's statutory obligations (typically eight years for board records under applicable banking regulation). To exercise access, correction or deletion rights, contact your organisation's administrator; where the law permits deletion, your data will be removed from active systems and backups on their scheduled cycle.

Children

The app is a workplace tool for adult members and officials of member institutions and is not directed at children.
